1. When is the re-invitation email sent?
Once the feature is active on your account, the email is automatically triggered in two situations:
The same assessment is shared across multiple job offers. For example, if a candidate applies to a second position requiring the same assessment (such as a Standard Aptitude Test), they will automatically receive this email.
A candidate re-applies to the same job offer within 6 months. If they fall within the retake policy window, the email is sent automatically.
💡 Tip
Once activated, this feature applies to all assessments on your account. No manual action is required from you each time a candidate is re-invited.
When a candidate is re-invited to an assessment they have already completed, Maki can automatically send them a reassurance email letting them know that no further action is needed. This feature is optional and must be activated on your account by the Maki team.
2. Why is this feature useful?
The email reassures candidates that they have nothing to do: their assessment is already complete and their results have already been shared with you. This prevents candidates from worrying about not receiving a new invitation or thinking they still need to complete the evaluation again.
If a candidate clicks the assessment link anyway, they land on a dedicated closing page confirming that their assessment has already been submitted.
3. What does the email say?
Candidates receive an email based on the template "Candidate re-invited to assessment". The default message reads:
"Hello {{candidate_first_name}},
Thank you for your interest in our job opportunity for the {{job_name}} position at {{company_name}}.
You have applied to several positions within {{company_name}} that require the same assessment. If you have not yet completed this test, you can start it right now by clicking the link below.
We wish you luck."
4. Customizing the email template
The template can be customized per assessment. Follow the steps below to update it.
❗️ Warning
Customizing the template for one assessment will not update it for other assessments. Each assessment has its own independent version of the template.
Open your Maki platform.
Navigate to the relevant assessment.
Click on the Emails tab.
Search for "Candidate re-invited to assessment".
Update the template content.
Click Update to save your changes.
💡 Tip
If you manage multiple assessments, remember to update the template individually for each one where you want a customized message.
5. How do I activate this feature?
This feature is not enabled by default. To activate it on your account, reach out to us at [email protected] and we will set it up for you.
